Receptionist - Macksville Veterinary Clinic

We're on the hunt for a receptionist extraordinaire to be the welcoming face and friendly voice of our clinic. As the first point of contact for our furry patients and their humans, you'll play a vital role in creating a warm and inviting welcome.

 About Us

Midcoast Vets is a well-established, independently owned practice with 3 clinics situated between the regional coastal centres of Port Macquarie and Coffs Harbour.

The main goal of our practice is to deliver a high standard of veterinary care and customer service whilst ensuring we have time to enjoy the relaxed lifestyle that comes with living in this region.

Our Macksville Clinic is a mixed animal practice and is staffed daily by a team of vets, nurses and animal assistants. You would be working in our brand new purpose-built clinic with a very enthusiastic team who create a supportive and fun work environment.

About the role

Responsibilities of the role

  • Greeting and welcoming clients to the clinic
  • Managing clients and patients in waiting room
  • Answering busy phone lines
  • Booking and managing appointments for veterinarians and nurses
  • Liaising between client and clinical team
  • Invoicing and processing payments – including cash and EFTPOS, processing insurance claims
  • Managing email enquiries
  • Requesting and forwarding results, samples, documents to other 3rd parties.
  • Entering and managing client and patient data
  • Providing administrative support to veterinarians and management
  • Processing of payments including end of day till reconciliation
  • Cleaning of reception and consult areas
About You

The successful applicant must demonstrate:

  • A minimum of 2 years’ experience in a similar, high-volume receptionist or customer service role.
  • Ability to provide outstanding customer service.
  • A friendly, warm and professional manner with excellent written and verbal communication skills.
  • A positive energetic can do attitude
  • An ability to multitask, take initiative, problem solve and manage competing priorities.
  • Excellent attention to detail and ability to follow instructions.
  • Excellent organisational and time management skills
  • Well-developed computer skills, ability to learn new software, and accurate data entry
  • A willingness to go above and beyond to provide the best possible care to our clients
  • An ability to converse with a range of people with compassion and empathy
  • Well-developed emotional maturity with skills to handle emotive situations including grief and difficult or demanding clients.
  • An ability to work well within a team and provide support to all co-workers.
  • A strong work ethic with a commitment to ongoing learning and improvement.
  • An ability to keep calm, think clearly and maintain a happy demeanour when under pressure during busy times and in veterinary emergencies
  • A passion for animals and a commitment to caring for our patients and clients.
  • An interest in learning about the veterinary industry.
  • An ability to follow policies, protocols and procedures.


  • Previous experience in a veterinary/medical receptionist role (or similar).
  • Familiarity with the veterinary profession.
  • Experience in handling animals.
